Privacy Policy
Effective . Homeschool Studio is operated by Nephium Unipessoal Lda, Avenida da Liberdade 615, 1.º, 4710-251 Braga, Portugal (VAT PT519455916). We are the data controller for the personal data described here.
1. What this covers
This policy explains what we collect, why, who else sees it, and what you can do about it. It covers both this website and the Homeschool Studio application.
2. What we collect
Your account. Your name, email address, and sign-in details. If you invite family members, the same for them.
What you create. Your curriculum, lesson plans, themes, calendar entries, learning journals, and any documents you upload, along with the records of your children's learning that you build in the product.
Billing. Your billing name, address, tax identifiers, and a reference to your payment method. Your card details go directly to Stripe and are never held by us.
Support. Whatever you write to us, and the email address we reply to.
Website use. If you accept cookies, analytics and advertising identifiers on this website. If you decline, we do not set them. See Cookies.
Technical records. Our servers and our content delivery network keep ordinary operational logs: your IP address, the browser and device you used, what you requested, and when. We use them to run the service, diagnose faults, and detect abuse, and they are deleted after 30 days.
You have to give us your name, email address and, once you subscribe, your billing details, because we cannot open an account or take payment without them. Everything else is yours to supply or not.
3. Why we use it, and on what basis
We use your account details and what you create to provide the product to you, which is our contract with you. We use billing data to take payment and meet tax obligations, which is our contract and our legal obligations. We use support messages to answer you, which is our legitimate interest in running a service people can get help with. We use analytics and advertising only with your consent, which you can withdraw at any time.
Information about your children reaches us from you rather than from them, and we process it to provide the product you have asked us for, which is our contract with you. Section 4 sets out how we handle it.
Nothing here is decided about you by a machine. The Smart features draft material for you to read and change; they make no decision that affects your rights, your price, or your account.
We have never sold anyone's data and we do not hand it to anyone to use for their own purposes. We do not use your content, or your children's, to train models. One thing is worth naming plainly rather than leaving to a definition: if you accept advertising cookies on this website, Google and Meta receive information about your visit, and if you later subscribe we send them a record of that purchase from our own servers, containing the advertising identifiers from those cookies, the amount and the currency. It never contains your name or your email address. California law calls that "sharing" even though no money changes hands and nothing about your family or your children is involved. Section 10 tells you how to stop it, and declining the cookies stops it before it starts.
4. Children, Smart features, SmartCapture, Google and Facebook
How children's information is handled
Homeschool Studio is used solely by parents and legal guardians, who are adults. Children do not access, log into, register for, or otherwise interact with the service, and we never collect information directly from a child. Any information relating to a child is provided by the parent or guardian who holds the account, acting under their parental responsibility, for the sole purpose of managing that child's home education. We deliberately minimize this information: we do not collect a child's date of birth, address, contact details, gender, nationality, or health information. Parents may review, correct, or delete this information at any time from within the application, and it is subject to our retention and erasure practices described below.
Because this information reaches us from the parent rather than from the child, the parent is also the person who exercises the child's rights over it, from inside the account or by writing to us.
For families in the United States: Homeschool Studio is neither directed to children nor offered to them. No child can register, sign in, or supply anything to us, and we have no relationship with any child. Everything we hold about a child was typed in by their parent or guardian, who can see, change, and delete all of it at any time.
Artificial-intelligence processing
Some features of Homeschool Studio use a third-party AI provider, Anthropic (the Claude API), to help you draft and organize content for example, generating draft lesson plans, learning journals, and curriculum suggestions. When you use these features, the content you submit is sent to Anthropic to produce the requested output. Anthropic acts as our processor under a data processing agreement and does not use this content to train its models. Anthropic may retain submitted content for a limited period (up to 30 days) for security and abuse-monitoring purposes, after which it is deleted. Where this involves transferring data outside the EEA, the transfer is governed by EU Standard Contractual Clauses. These AI features are optional and require your separate consent before first use.
Browser Extension (SmartCapture)
Our optional browser extension lets you save the content of a web page you are viewing into your Homeschool Studio account. When you choose to capture a page, the extension sends that page's text, title, and address (URL) to our servers, where it is processed, including by our AI provider, Anthropic, to create a lesson plan, learning path, or theme in your account. The extension reads a page only when you explicitly capture it; it does not collect your browsing history or pages you do not capture. Captured content is your account data under this policy (see Retention and deletion) and is never sold or used for advertising.
Lesson pages often link to worksheets, documents and images. If you allow it, the extension also downloads the files that the page you captured points to, including files kept on another site such as a publisher's download server, and adds them to the same lesson plan as attachments. It downloads only files that the captured page links to, and only for a page you chose to capture.
Those downloads happen in your own browser, using the sessions you are already signed in to, so material from a site you subscribe to arrives exactly as that site would serve it to you. We never receive, read or store your usernames, passwords or cookies for those sites. Only the resulting file reaches your Homeschool Studio account, where it is your account data under this policy.
Downloading files requires your permission for the extension to access websites. We ask for it once, from a button, after you have connected your account. You can withdraw it at any time in your browser's extension settings.
Google user data
If you choose to connect your Google account, Homeschool Studio requests read-only access to your Google Calendar (calendar.readonly) and your account email address. We use this solely to display your existing calendar events as read-only scheduling context in your planner. Events are fetched live each time you open the planner and are held only for the duration of that request; we read only the event title, start time, end time and all-day flag. We do not store your event data, and we never write to your calendar. We store only what is needed to keep the connection working: your account email address, the names and identifiers of your calendars with their on/off state, and encrypted access tokens. Disconnecting the account in Settings deletes all of this connection data.
Google user data is never used with artificial intelligence. Data received from Google APIs is never sent to any AI provider, and is never used to create, train, improve or personalize any AI or machine-learning model. The AI features described above operate only on content you create or supply within Homeschool Studio.
Homeschool Studio's use and transfer of information received from Google APIs to any other app adheres to the Google API Services User Data Policy, including the Limited Use requirements. Raw and derived user data received from Google APIs is never used to develop, train, improve, or personalize AI or machine-learning models.
Signing in with Facebook
If you sign in with Facebook, we receive your name and your email address, and nothing else. We use them only to create your Homeschool Studio account and to sign you in. We do not receive or store your Facebook profile photo, we never post anything to your Facebook account, and we never read your friends, your contacts, or anything else held there.
We do not use what Facebook gives us for advertising or advertising measurement. You can disconnect Homeschool Studio at any time in your Facebook settings for apps and websites, and you can have your data deleted as described in Deleting your data.
5. Who else sees it
We use a small number of companies to run the service, each of which sees only what its job requires. They are listed individually, with what reaches them and where they process it, on our sub-processors page. Each acts on our instructions under a data processing agreement and cannot use your data for anything else.
We will also disclose data where the law requires it, and to a company that acquires our business, in which case this policy continues to apply until you are told otherwise.
6. Cookies
We set only what is necessary to make the site work unless you tell us otherwise. Analytics and advertising cookies are set only after you accept them, and you can change your mind at any time. What each cookie does is listed on our Cookies page.
7. Where your data is held
Homeschool Studio runs in the United States, in Microsoft Azure's Central US region, and the companies listed on our sub-processors page process data there too.
If you live in the European Economic Area or the United Kingdom, this means your personal data is transferred out of your country to be processed. We make those transfers under the safeguards data protection law requires, including EU Standard Contractual Clauses with the companies concerned. You may ask us for details of the safeguards that apply to any particular transfer.
8. How long we keep it
We keep your account and the content in it for as long as your account is open. After you cancel, your account stays available in a read-only state for a period so you can retrieve what you want to keep, and is then closed and deleted, as described in Refunds and Cancellation.
Billing records are kept for ten years, which is how long Portuguese commercial and tax law requires us to keep them. Support conversations are kept while they are useful for answering you and are then deleted. Technical logs are deleted after 30 days. Content sent to Anthropic is deleted by them within 30 days.
9. Your rights
You can ask us for a copy of your data, ask us to correct it, ask us to delete it, object to how we use it, or ask us to restrict that use. You can withdraw consent for anything you gave consent for, including the Smart features and cookies, without affecting what happened before you withdrew it.
Most of this you can do yourself inside the product. For anything else, email hello@homeschoolstudio.com and we will respond within one month. You can also delete your account without signing in, as described in Refunds and Cancellation.
If you think we have handled your data badly, please tell us first so we can put it right. You also have the right to complain to a data protection authority: in Portugal that is the Comissão Nacional de Proteção de Dados, and in the United Kingdom the Information Commissioner's Office. You may complain to the authority where you live.
10. If you live in the United States
The rights in section 9 are not limited to Europe. Wherever you live, you can ask us for a copy of your data, ask us to correct or delete it, and tell us to stop the analytics and advertising described above. We will not treat you differently for asking.
Several US states also give you the right to know the categories of information we collect and who receives them. Those categories are section 2 of this policy, and the recipients are on our sub-processors page. We collect no information that those laws treat as sensitive, we do not use anything for profiling that produces legal or similarly significant effects, and we have never sold personal information.
To stop the analytics and advertising cookies, use Your Privacy Choices or Cookie settings at the bottom of any page. If your browser sends a Global Privacy Control signal we act on it automatically and you need do nothing. Requests about anything else go to hello@homeschoolstudio.com, and you may use an authorized agent. We answer within 45 days and will tell you if we need longer.
If we turn a request down, you can ask us to look again by replying to our answer or writing to the same address, and we will give you a decision in writing. Residents of some states may also complain to their state Attorney General.
11. Security
We protect your data with encryption in transit and at rest, access controls that limit who can reach it, and providers chosen for their own security practices. No service can promise perfect security, but if a breach ever affected you we would tell you and the relevant authority within the time the law requires.
12. Changes
If we change this policy, the new version carries a new effective date, and where the change materially affects you we will tell you before it takes effect.
